Same Email Address Causing Volunteer Information to be Overwritten [Resolved]

We have had a number of volunteers come forward from a school, in this instance - the school has given us one email address as a contact (e.g. a teacher/care worker) for these pupils. However, V-Base does not seem to accommodate the possibility of multiple volunteers operating under one email address and treats these individuals as one in the same, updating (i.e. adding to/overwriting) the other volunteer's details.

I have tested this by creating a volunteer known as "Mr Number One" and then creating a "Mrs Number Two". I have then left everything blank except for an identical email address and sure enough, Mr Number One has now disappeared but Mr Number Two is there. I have also tested this by filling in the Bio for just Mr Number One, and have found that Mr Number Two's profile absorbs the information of Mr Number One. In instances where both have filled out information the same sections, Mr Number Two overwrites Mr Number One's information.

All of this is what I was alluding to back in this post: https://v-base.org/node/219 as once again, in this instance - I had only one email address for both the mother and daughter.

There is a work around for this, leaving the email address box as empty and then filling it into retrospectively when the volunteer profile has been completed. Is there a way to resolve this issue, so that we do not have to use work arounds to solve this? Please could you also ensure that there are no other sections on the system, which mean that the system assumes that two individuals under different names are considered one?

The fact that Do-it does not allow multiple volunteers with the same email address is a problem in using Do-it by proxy for dropins.

I was keen to do this because then they appear on the My Applications and all activity is in the same place, whereas it seems to me that locally created volunteers are not exactly the same as Do-it created volunteers in VBC.

Thi sis something that needs to be worked around in VBC because Do-it are never going to change the email address / volunteer link.

We had the same problem with a husband and wife and had to use the same work around. Do it only worries about the email address (as it often has no other details anyway) andit is understandable that no two accounts can have the same email address) but VBC overwrites if just the postal address is the same  unless you use the workaround outlined above to creaet a profile with the bare minimum  (using dots if necessary in compulsory fields and then filing in the extra detail after the orofile is created.) The worst thing about it is that it doesn't warn you so having created the husband first and then the wife second I couldn't understand why several days later only the wife existed (the husband having been completely overwritten ). Of course the wife's profile had the same number as the husn band's but at the time that wasn't noticed

Hi everyone,

We have modified the duplication rule now, made it possible to create multiple volunteers with same email address. However, please note that First name, Last Name and  Email address will be used to determine duplicate entries. If all three are identical, previous record will be overwritten.

Thanks
