sending volunteer info to organisation HELP [Resolved]

Hi

I had a one to one with the volunteer who broiught in a paper application form,  she then picked a few opportunties she would like to apply for.

I said i would pass her details onto the organisations.

I inputed the volunteers  details in to V-Base Cloud and was wondering how can i send the volunteers details to the organisation and get it to record the activity on the volunteers profile at the same time ( i presumed that send volunteer info email would be the way to send the info to organisations and record this on the volunteers profile but it dont say send email it just says save)

Could someone help please

Hi Tracey,

We've added a new feature, enabling volunteer Centre staffs to handle walk in Volunteer Applications. Please follow the steps below to carry out your task,

  1. Navigate to Volunteer summary screen
  2. Click on 'Opportunity Match' button
  3. Find the desired opportunity
  4. View the Opportunity
  5. Click on 'Apply Now' button on top left hand corner of View opportunity screen
  6. Confirm your action

This will create 'Applied for Opportunity' activity for the volunteer and take you through the Send Info process to send Opportunity Info to Volunteer, Send Volunteer Info to Organisation etc.

I have just been looking at this as it is a function I'm quite keen to use.  However, I have a concern in that the label that links to the application comes up as 'Applied for Opportunity' which is the same 'type' that links to people that apply for a role on do-it, from a reporting perspective the data will not be correct - should this come up as Opportunity Referral 'Type' so it is consistent for applying for a role for someone that we meet face to face.

Applied for opportunity records created during the above process can be filtered using 'Is Local Application?' filter in activity reports.

I am not sure that I can comment on this with the same authority as Claire, because I haven't had the opportunity to look at it in any detail.  But my gut feeling is that local applications should look just the same as Do-it applications.

So when you refer a drop-in to an opportunity the sequence should be just the same as for do-it, starting with "Applied for Opportunity".

If using the above new auto sequence of actions, it should result in the same sequence of activities logged as with processing My Applications from Do-it.

Basically Applied > Referred > [any other followup activities] > Placed/Not-placed

I think Gopi still has an action to provide a flowchart. explanation of the business process involved, including description of how the actions above translate to VBC activities.

I feel that this is a very dangerous enhancement to the system. Most Volunteer Centres rely for their existence on results based on volunteers who apply, are referred and who are placed and anything that makes these figures difficult and confusing to produce is going to cause problems. A fair proportion of the system users are volunteers themselves who attend for a few hours a week and who do not build up a background knowledge of the system. Everything in the system must therefore be clear and obvious. In addition the system is not well documented and new enhancements appear from time to time (as this one) which are not found easily in any manual.

I do hope further consideration can be given to making this enhancement fall into line with everything else.

Could you clarify which enhancement your referring to?

The feature to be able to differentiate between local or do-it based oppurtunities is in place already, the activity's shown agains the volunteer have not been amended yet so I wanted to clarify exactly which enhancement you feel is dangerous.

I have just gone throught this proces with one of my walk in volunteers only she didnt have an email address so when i wanted to send her details to the organisation i could do if from there as it didnt give tme the opption i just thought i might be able to skip the part when it says send opportunity details to the volunteer. is there an easier way to get the volunteer details to the organisation through this proccess.

 

Also ive noticed that when i have to send volunteer details to the organiation it automaticaly picks up the main organisations email address instead of the email address for the contact of that opportunity as there are many contacts for different opportunties for the same organisation how do i get around this also.

Im still learning so any help would be much apriciated

Hi Tracey,

You could skip sending email to Volunteer using 'Skip this step>>' button and continue to the next step of sending email to organisation. However, the volunteer record needs to have a valid emails address to carry out the send info process.
