Hi
When we send info to volunteers via do-it or kiosk then my details are all over the email...my emial address particularly and people are told to apply to me! i have changed our org details months ago and it is still sending them to me. How can i get the Send Info form to reflect our generic volunteering email (which is the one that is listed on our organisation page) I am getting emails from volunteers in the droves and they should not come to me?
Thanks...
But what is the email address for your actual VBC login account? Remember that you can have multiple login accounts for VBC but only one for Do-it.
Also, I have noticed that the Do-it email gets sent to the organisation contact, Not the opportunity contact, which is furtsrating for everyone.
Hi Heather,
'Do-it email gets sent to the organisation contact' . Is it an email sent from Do-it ?
Hi Gopi,
Sorry, I wasn't clear. On vbase cloud, at the stage when we have imported a volunteer into VBC and are following the send info processes, when we get to the 'send info to organisation' section, the email address that is automatically populated in the 'to' field is the Organisation's primary email address, NOT the 'Opportunity Contact' email address. This means that, with some National organisations, we're sending the volunteer's information to their head office contacts rather than their local representative. (See Children's Links for an example on our system).
I have tried manually entering the email adress of our local contact into the box on the 'Send info' form but it doesn't work.
Really, the send info needs to go to the opportunity contact, Not the organisation contact.
Heather
Hi Heather,
Thank you for reporting this issue. Curently, email field in 'Send info to organisation' section picks up organisation's email address. We've added this in the known issues list and will make the necessary changes.
Thanks
Any update on this? I've also noted that the opportunity contact info doesn't show when viewing an opportunity- only in the edit opportunity area. This means that when we print out details of an opportunity for a volunteer the details included are for the organisation, not the opportunity contact.
Hi Heather,
We are working on this issue now and the fix will provide option to select the opportunity contact email address. If no contact email address found for the opportunity, ''Send info to organisation' emails will be sent to 'For Organisation' by default as the system currently does. Does this need to be changed to 'Apply To' organisation by default?
Thanks
Hi Gopi,
Really the email needs to go to the 'Opportunity Contact' rather than the Apply To or For emails. Apply To will almost always be our own email address as we haven't really opened up self serve very widely.
Many organisations have a different contact for the opportunity than the organisation.
Thanks,
Heather
Hi Julie,
We checked and found out that the Organisation record for your VC, Rotherham Volunteer Centre, is still having your email address updated. Apply to organisation details for Send Info emails are picked up from this organisation record. You could search and find your VC organisation record from Search organisations page, edit and update the email with a generic volunteering email.
Thanks
Hi Gopi,
I didn't realise this was happening also - see doc attached, the By and Apply for details are picking up the correct group email, but the email is showing my work email address in the From section (highlighted in Red).
I have checked our Organisation entry and my email is not listed in the record. What do I need to change please?
Thanks
Reena
Hi again Gopi,
I have figured out that when you are in the email itself, you need to ensure that you select the right email in the FROM box, as it is setting my own email as the default.
Is it possible for us to be able to set our group email address as the default for all of my users, so that if a volunteer replies to any email it always goes to the group mailbox?
Many thanks
Reena
Hi reena,

Hi Heather
I understand what you mean i also have problems that when a volunteer applys for an opportuntiy the volunteer infomation gets sent to the organisation rather that the contact for the opportuntiy do you no if this has been fixed yet ?
Tracey
Hi eveyone,
We're happy to inform you all that Send volunteer details to organisation action has been fixed now to use opportunity contact email address by default.
Opportunity contact details also have been added on View Opportunity page. Please have a look...
Thanks
Brilliant, thank you!
